Conference Bookings - Terms and Conditions

Fees
Delegates are requested to pay the fee within 28 days of the date of the invoice.  Any fees due will be calculated based on the currency of the original invoice.

Discounts
Multiple booking discounts apply to delegates booked at the same time and from the same organisation and may not be used in conjunction with any other discount or offer.  For discounts on multiple bookings, PDP will determine which session(s) receive the discount.

Transfers
Delegates wishing to transfer to another PDP Conference may do so free of any transfer charge if the request is received in writing at least one calendar month before the event that the delegate wishes to transfer from.  The request should state the date and name of the event that the delegate wishes to transfer to ( which must be within twelve months of the event for which the delegate originally booked ).  Transfers will only be accepted where PDP has received payment for the event that the delegate wishes to transfer from.

Requests for transfers received less than ( after ) one calendar month prior to the event will be made subject to a transfer fee of £150 plus VAT, per delegate, provided that they are received at least 24 hours prior to the booked event.  A delegate who transfers to another Conference will not be permitted to claim any refund where he/she does not attend that other event.

A delegate who cancels his or her place less than 24 hours before the start time of an event will not be permitted to transfer the place to another event.

In the case of any transfer, where the event transferred to is more expensive than the event transferred from, the balance must be paid before the transfer is effective.  There will be no refund payable where the event transferred to costs less than the event transferred from.

Substitutions
Delegates may nominate an alternative person from their organisation to attend the event in their place at any time up to 24 hours prior to the event, at no extra charge.

Cancellations/Refunds
Delegates wishing to cancel a booking should notify PDP in writing at least one calendar month prior to the event.  A cancellation administration fee of £100 plus VAT will be payable where the Conference fee has not been paid.  Where the Conference fee has been paid, this will be refunded, less that administration charge.  No refunds will be payable for cancellations made within one calendar month of the event - in this event the invoiced amount will remain payable.

Alterations/Disclaimer
It may be necessary for PDP to change the content and timing of the programme, the speakers, the date or the venue.  In the unlikely event of the programme being cancelled by PDP, a full refund will be made.  For all bookings, the liability of PDP shall be limited to the amount of the fee actually paid to PDP by the delegate.  PDP shall not be liable where an event is cancelled or cannot be take place due to circumstances beyond its reasonable control.

Registration Information
Registration information, including directions to the venue and timings, will be sent to the delegate by email at least 7 days prior to the event.  PDP will not be responsible for the non-arrival of registration information.  Any delegate not receiving the registration information by 7 days prior to the event should contact us on +44 (0)845-226 5723.

Late Payment
PDP reserves the right to charge late payment interest on any outstanding invoice at the rate of 5% above the base rate of Barclays Bank Plc.
